Digitise to Level Your Organisations Paperwork
At Ergo we believe digitisation is about improving processes rather than eliminating paper.
When you think about printing, for example, only around 10 per cent of the cost is about putting a mark on a page. The rest is about managing the information, storing, retrieving and sharing that information. Intelligent systems that not alone scan documents but that encode them so that they can be stored and retrieved smartly and cost effectively is what it is all about! In Ergo we have a reputation for successfully consolidating and standardising print environments which result in a more streamlined company while having a knock on effect on overheads.
Case in point would be Ergo’s managed print service offered at Primark (click here to read case study). We cut printing costs significantly, as well as hard savings from imposing rules around colour and single sided printing which had the ability to create soft savings that come from a homogenous print environment with hundreds of machines.
Standardising on one manufacturer and one supplier makes ordering consumables much more efficient. We can offer a significantly reduced number of invoices and purchase orders associated with the print environment and managing this seamlessly for our customer is one of our strongest capabilities.
Managed Print Services Trends
I’m seeing lots of investment on the scanning side. Everyone is talking about four key trends that are driving this area:
- big data
All of these play into this area of digitisation.
There is a major shift in the approach to Managed Print Services, which has gone way beyond print. It’s more about looking at the business issues you can solve. Here at Ergo we carry out audits of full business processes from start to finish such as invoice processing, internal forms, looking at where the paper originates and where it ends up to see if customer can automate any of the processes.
One of the key ways in which Ergo adds value to its clients is by providing a fresh perspective on how processes are carried out. When we ask, why do you do this process the way you do, the answer nine times out of 10 is that it is the way that it always has been done. That’s what we try to improve – business processes – with the products we have at our disposal.
Scanning Project @ EBS
Ergo has a network services, software and managed print division – there’s no challenge that we have not seen and have not been able to overcome. The EBS Building Society (click here to read the case study) is a case in point. It had an inefficient paper-based process prone to manual error with hardcopy documents going back and forth between branch offices and headquarters in Dublin.
Ergo deployed an innovative document workflow system to scan and send digitised documents, reducing the error rate and speeding up the process. Applications that formerly took six days to process can now be processed in around 15 minutes. The new system services members better, increases internal efficiencies and ensures regulatory compliance.
