The Challenge

The Electricity Supply Board (ESB) was looking to rationalise the use of print for 7,000 employees across 90 locations in Ireland and the UK. The IT department was finding it difficult to manage a highly distributed environment along with relying on maintenance contracts with increasingly expensive call-out charges. The plan was to make the step up to a fully leveraged Managed Print Service (MPS) with an experienced service provider that would take care of everything, from hardware to consumables, in a single contract.

The Solution

ESB entered into contract in May 2011 and since then Ergo has continuously delivered tailored fit print solutions. Ergo have guided ESB through a process of consolidation and proactive management, involving the alignment of print features and functionality to specific business needs. Centralising print and proactively managing the estate has seen a 30% reduction in volume, saving up to €7,000 a year and improving sustainability and security - important for an organisation with data privacy and regulatory responsibilities. Greater control and transparency has enabled ESB to adjust its print requirements to meet its changing business needs.

The first phase of the Ergo MPS engagement was about consolidation and standardisation. Running an estate with a small number of Multi-Function Devices (MFDs) from a single supplier is more efficient and cost effective, so Ergo set about reducing 2,000 printers to less than 500 HP devices. The longer-term strategy has been about deploying MFDs that meet the specific requirements of different business units. 

Ergo has brought new features and functionalities to the estate, principally pull printing, eliminating the problem of uncollected documents in trays, improving sustainability and security. A load balancer was also deployed to split the print traffic across two data centres. If one print server was to fail it would be taken out of the loop meaning no service interruption to print end users.

Another requirement was adapting the print hardware to a Citrix environment which was focussed on thin client computing - a type of lightweight computing used to connect to a server from a remote location. This had implications for print as these users didn’t have a print driver on their desktop. Ergo helped solve the problem by standardising on a HP universal driver which was ran out of ESB’s main data centre.
